Customer Details Page - Contracts

Contracts shows all contracts linked to a customer.
Here you get a quick overview of contract numbers, terms, services, locations and the status of each contract.
The map helps you easily manage and consult active, expired and draft contracts.


Overview

The Contracts section displays all customer contracts in a table format, with the following columns:

  1. Contract Number – Clickable; opens the full contract details page

  2. Period – Start and end date of the contract (e.g. January 1, 2025 – December 31, 2025)

  3. Services – Icons of the included utilities (e.g. electricity, gas, water)

  4. Locations – Number of locations covered by the contract; if there is one location, it will be displayed as a link

  5. Contract Status – Visual indicator with color and icon showing the current contract status

Example display:

  • Contract: #2025-001

  • Period: January 1, 2025 – December 31, 2025

  • Services: Electricity, Gas

  • Locations: 1 (clickable link)

  • Status: Signed ✅


Operation

Contracts are linked to customers through a contractor relationship.
When a contract is created, the customer is automatically recorded as the contractor.

You can:

  • View all of a customer's contracts in one overview

  • Navigate to the customer details page from a contract

  • Filter contracts by status (All, Ongoing, Draft, Blocked)

  • Search for contracts by number, reference or customer details

The list is automatically updated when contracts are created, signed or terminated.


Contract lifecycle

  1. Concept (Draft)

    • Created but not yet signed

    • Shown with a blue icon

    • Not shown for the Running filter

  2. Sent

    • Contract has been sent to the customer

    • Green status indicator

  3. Signed

    • Contract is active

    • Green check status

    • Appears in the Ongoing filter as long as the current date falls within the contract period

  4. Cancelled

    • Contract cancelled before signing

    • Yellow warning icon

  5. Terminated

    • Contract has expired or been terminated

    • Red “X” icon

    • Automatically displayed as terminated if the delivery end date has passed, even if the status is still Signed


View and edit contracts

To look at

  • Click on the contract number to open the contract details page

  • Use quick filters (All, Ongoing, Draft, Blocked) to filter

  • Use the search field to search by contract number or external reference

  • Sort by clicking on column headings (e.g., Contract Number, Period, Status)

To process

  • Edits are always made on the contract details page, not in the overview map

  • Changes in status, duration or services are automatically reflected in the overview

  • Only users with the appropriate rights can edit contracts

Please note: When the delivery end date has passed, the contract will be shown as Terminated, even if the status is still Signed.


Situation

Explanation

No contracts visible

The customer may not have any contracts yet, or filters are hiding them (e.g. only Pending)

Status appears incorrect

When the end date has passed, the system will show Terminated even though the contract is still Signed

Multiple locations

The Locations field shows the number of locations; click on the contract number for details

Period difference per service

The overview shows the total duration, but individual services may have different dates

Contract not found when searching

Check the filters and whether the contract belongs to the correct customer.



Why is a signed contract shown as terminated?
Because the delivery period has expired; the display shows the actual status.

Can I edit a contract from the overview?
No. Click on the contract number to open the details page and edit the contract.

What is the difference between the “Ongoing” and “All” filters?
Current shows only active contracts within their term. All shows all contracts, regardless of status or date.

How do I know if a contract is blocked for billing?
Blocked contracts appear in the Blocked filter and display a warning on the contract detail page.

Can a customer have multiple active contracts?
Yes, this is possible for different locations or services (e.g. electricity and gas).

What happens when a contract expires?
It will remain visible as Finished, but will no longer appear under Ongoing.

Can I search by customer name?
No, the search field searches by contract number or reference. First, find the customer and then view the Contracts map.

Why do I see multiple service icons on one contract?
Because the contract includes multiple utility services (e.g. electricity and gas).


  • Contract Number: Unique contract number (e.g., 2025-001)

  • Contractor: the customer who is a party to the contract

  • Delivery Period: the period during which services are provided

  • Location: the physical address where the services are provided

  • Service: the specific utility (electricity, gas, water) within the contract

  • Contract Status: The current stage of the contract (Signed, Cancelled, Terminated)

  • Actual status: the status as shown in the overview, taking into account data

  • Blocked for billing: status where no invoices are generated temporarily

  • External reference: optional reference number from an external system

  • Quick Filter: Preset filters (All, Ongoing, Draft, Blocked)
