Different templates used in contract management
All templates can be found in the configuration at Communication > Templates. These templates are fully textually customizable. Below is an overview of all templates used for move-in/move-out processes:
Welcome e-mail
A standard welcome e-mail template is available that can be automatically sent to new contractors to inform them of the new contract that has been created. This mail contains details such as the location address, contract number, customer number, advance amount and the start date of the contract.
Termination e-mail
A standard termination e-mail template is available that can be automatically sent to contractors whose contract has been ended.
Move-in confirmation e-mail
When customers are doing a move-in using the customer portal, a move-in confirmation mail can be sent to inform them that we have received the request and that we will process it shortly.
Move-in rejection e-mail
When a user rejects a portal move-in request in the task screen, a rejection e-mail can be sent to the customer to inform that his move-in is not going to be further processed. This can be the case when the customer already tried the same move-in before and this request was already processed. Another reason for rejecting could be that the move-in date entered is a wrong date.
Move-out confirmation e-mail
When a customer terminates his contract using the customer portal, a move-out confirmation e-mail can be automatically sent to the customer. This informs him that we have received his request and that we will process it shortly.
Move-out rejection e-mail
When a user rejects a portal move-out request in the task screen, a move-out rejection e-mail can be sent to the customer informing him that his move-out is not going to be further processed. This can be the case when the customer already tried the same move-out before and this request was already processed. Another reason for rejecting could be that the move-out date entered by the customer is a wrong date.
