Different templates used in billing

Zero Friction uses different standard templates for each type of invoicing document (e.g. invoice, advance, end note, credit note...). Each of these templates is fully customizable by the use of modifiable fields for all the text items displayed. Additional information can be switched on or off. Examples are: extra VAT details, the customer's balance, country... The address on the invoicing document can be positioned on the right or on the left. Margins can be adjusted by entering the values (mm) in an input field.

Both PDF and e-mail templates are fully textually customizable. The user can select a section of text in the standard template and this will open the underlying text field editor for that section. The user can now simply modify the text to his own wordings for that section. Translations can also be edited in this way.

Each invoicing document standard template is translated in the languages configured for the organisation.

Selecting the right template for special billing needs

When choosing templates for reports or annual settlements, consider these points:

  • Why specific templates might not appear:

    • The template labeled ‘Afrekening’ may not appear in the list of available templates because it typically does not exist as a separate template. Instead, the ‘Invoice’ template may have been customized or translated with the name ‘Afrekening.’

  • Which template to use for annual settlements with attachments:

    • Use the ‘Invoice’ template when adding an attachment for an annual settlement. By following these practices, users can leverage Zero Friction's standard templates effectively without confusion over naming conventions.

Managing and customizing HTML templates

In Zero Friction, users can upload and customize HTML templates to meet specific needs. This involves the following steps:

  1. Download the existing template:

    • Download the template from the system to modify it locally.

  2. Edit the template:

    • Use tools like Visual Studio Code to customize the HTML structure and content as needed. Additional fields, such as comments, can be added.

  3. Upload the updated file:

    • Return to the template management section of Zero Friction.

    • Click the option to upload a new file and dismiss any pop-up that appears.

    • Select the customized file from your directory and confirm the changes. With this workflow, users can easily implement client-specific changes to their invoicing templates.
