Payments - Outgoing

The Outgoing Bank Transactions page shows all batches of outgoing payments you send to the bank. These are payment requests and refunds. You primarily create these files from invoices, adding them to outgoing bank transactions. You use this page to quickly find, filter, and track batches, both before and after sending them to the bank.


Overview

The list shows a row with key information for each bundle. From this list, you can also open the bundle's details page.

The table contains, among other things, these columns:

  • ID: Shows the bundle type and the identification number. This is clickable and opens the details page.

  • Status: Shows the current status of the bundle with a visual status label.

  • Collection date: Date on which the bank must process the bundle.

  • Company account: IBAN of the company account linked to the bundle.

  • Transactions: Number of individual payments in the bundle.

  • Amount: Total amount of the bundle.


Quick filters

Above the list are quick filters with quantities. These allow you to quickly select bundles based on status.

  • All: Shows all bundles, regardless of status.

  • Ready to Send: Shows bundles that are ready to export or send.

  • To be confirmed: Shows bundles that have been sent to the bank and are still waiting for confirmation.

  • Closed: Shows bundles that have been fully processed.

  • Expired Date: Shows bundles for which the collection date has expired.

  • Troubleshooting: Shows bundles of errors that need to be resolved first.

The numbers in the quick filters automatically adjust when you use additional filters. You can also sort by preference in these columns.


Filters on the right side

On the right side you can further refine the list.

  • Bank accounts: Filter on one or more business accounts.

  • Type: Filter by bundles for payment requests or refunds.

  • Change date: Filter by collection date within a selected date range.


Actions on batches

In the list, you can select one or more batches to perform actions. Available actions depend on the bundle's status.

Examples of actions:

  • export

  • download an export file

  • Send to the bank, if this is configured. This can be found in the configuration/payments/data providers.

These actions ensure that the batch receives the status "To be confirmed by the bank." You inform Zero Friction that the batch has been imported into the banking environment and that we are now awaiting confirmation.

  • Cancel: This is only possible if the batch has already been downloaded or sent to the bank. This happens when the batch hasn't been processed by the bank, or someone forgot to import it. Canceling the batch releases all transactions within it. Move invoices back to invoices/ready for payment; you can now create a new file.

  • Deleting: Deleting is only possible before processing. Deleting the batch releases all transactions within it. Move invoices back to invoices/ready for payment; you can now create a new file.

  • Mark as confirmed: You manually mark an outgoing payment bundle as confirmed, without waiting for automatic confirmation from the bank.

If a bundle contains errors, you must first resolve the errors on the details page before continuing.


Common situations

Checking batches before shipping
Use the quick filter ready to send and check amounts, quantities and collection date.

Follow up on bundles waiting for confirmation
Use the quick filter "Waiting for confirmation" to see which bundles haven't been finalized yet. The confirmation for this outgoing batch comes from the incoming transactions.

Fixing batches of errors
Use the Troubleshoot quick filter and open the bundle to view error messages per transaction.

Follow up on batches with expired collection dates
Use the quick filter collection date expired and adjust the collection date or cancel the bundle.

Important: A batch with the status 'To be confirmed by the bank' with a date in the past cannot be processed and must be investigated.

Action: Check in the bank what happened and cancel the batch if necessary.



Why am I not seeing any results?
Check if any filters are active. Clear the filters to see all bundles again.

What is the difference between collection date and creation date?
The collection date is the date the bank must process the bundle. The creation date is when the bundle was created in the system and can be found on the details page.

Why aren't all statuses included in the quick filters?
The quick filters focus on the most frequently used follow-up steps. For other statuses, use all and filter by status or sort the list.

Can I filter by customer?
Not listed as bundles. To view transactions for a specific customer, open the bundle and use the details page.


  • Outgoing bank transaction: A bundle of payments sent to the bank

  • Batch: Collection of individual payments that are processed together

  • Collection date: Date on which the bank must execute the collection

  • Payment Request: Bundle to collect amounts from customers

  • Refund: Bundle to refund amounts to customers
