The details page of an incoming bank statement shows all individual transactions from a single CAMT053 file. On this page, you can review, link, and manage each transaction before it's converted into a payment in the system.

You mainly use this page to resolve error messages, manually link transactions, and finally process payments.


At the top of the page you will see:

  • the title of the bank statement with the unique ID

  • the original file name of the uploaded CAMT053 file

  • a status label showing the processing status of the entire statement

  • action buttons such as process and download

The status in the header shows the overall status of the entire bank statement. Below the header, you'll find a summary with key information:

  • file creation date

  • company account where the transactions were received

  • opening balance with date

  • final balance with date

Important: If there is a problem with the bank account, this will be visually indicated here.

Transaction list


The main part of the page shows a list of all the individual transactions from the bank statement.

For each transaction you will see, among other things:

  • transaction type

  • amount

  • status

  • transaction date

  • IBAN of the counterparty

  • description or payment reference

Positive amounts indicate incoming payments. Negative amounts indicate chargebacks or refunds.


Filters

Above the transaction list are quick filters with quantities. These allow you to quickly focus on a specific type of transaction.

  • All: Shows all transactions in the bank statement

  • Bank Transfers: Shows incoming and outgoing payments

  • Bank Confirmations: Shows confirmations of payments or refunds from the bank

  • Reversals: Shows transactions that reverse a previous payment

  • Troubleshooting: Shows transactions with error messages

The active quick filter is highlighted. The numbers adjust as you use additional filters.


Filters on the right side

On the right side you can further refine the transaction list.

Available filters:

  • Status: Filter on the processing status of transactions

  • Type: Filter by the type of transaction

  • Period: Filter by transaction date

All filters work together and can be emptied individually.


Transaction statuses

Each transaction has a status that indicates what stage of processing it is in.

Possible statuses include:

  • Created: The transaction has been read but not yet validated.

  • Ready for processing: The transaction is correct and can be processed.

  • Processing: The transaction is being converted into a payment

  • Processed: The transaction has been successfully converted into a payment.

  • To be processed: The transaction is linked to a customer or invoice

  • Troubleshooting: There is an error that requires manual action

  • Failed: Processing failed

  • Ignored: The transaction is deliberately not processed, this is not for billing within Zero Friction


Types of transactions

The system recognizes different types of transactions.

Bank transfers:

  • incoming payment from a customer

  • outgoing payment, such as a refund

Bank Confirmations:

  • confirmation of a direct debit batch

  • confirmation of a refund file

Reversals:

  • undo a previous payment or refund

Unknown:

  • transaction that is not automatically recognized

  • requires manual matching, for example in the case of a bank charge


IBAN statuses

The IBAN column uses color codes to indicate bank account recognition.

  • Green: The IBAN has been confirmed and linked to a customer

  • Orange: The IBAN is unknown and is seen for the first time, you can now match this to the customer

  • Blue: The IBAN is unknown but the customer already has other accounts

  • Standard: No special status

By clicking on an IBAN you can manually link the transaction and save the account if necessary.


Actions on transactions

You can perform various actions on transactions.

Match:

  • use to manually link a transaction to a customer, invoice or payment

  • After pairing, the transaction becomes ready for processing

Ignore:

  • use for irrelevant transactions

  • ignored transactions are not processed

Reset:

  • removes previous matching and reverts the transaction to created


Automatic payment matching

Zero Friction automatically matches incoming payments to customers and invoices based on payment references and IBANs. This happens in the background when you upload a bank statement or when bank statements are automatically imported.

When automatic matching is successful, you'll immediately see transactions with a status indicating they're ready for further processing.

How does the system match automatically?

For incoming payments, the system usually uses this sequence:

  • first match on payment reference

  • If this doesn't work, match on IBAN


Match on payment reference

The system searches the payment description for a recognizable reference and attempts to link it to outstanding amounts.

The payment reference is first simplified to reduce notational differences. For example, spaces and special characters are ignored.

Based on that reference the system tries to match with:

  • a payment plan

  • a debt collection case

  • a specific invoice

If the reference would match multiple customers, the system does not automatically match to prevent errors.


Match on IBAN

If matching based on payment reference is not successful, the system attempts to link the payment via the counterparty's IBAN.

When the IBAN corresponds exactly to one customer, the system can:

  • link the payment to that customer

  • and, if the amount exactly matches outstanding amounts, also immediately link invoices

If there is no clear match, the payment will be linked to the customer but not to specific invoices, so you can check this later.


When do you use manual matching?

You use matches when:

  • a transaction has a resolve or failed status

  • the system cannot find a customer or invoice

  • you want to link a payment to specific invoices

  • you want to adjust an automatic link

  • the IBAN is not recognized by a customer

Transactions of an unknown type cannot be matched.


Construction of the match screen

In the match screen you usually see three parts:

  • a summary of the transaction

  • a customer selection, when necessary

  • a link screen to select invoices or other items


Summary of the transaction

At the top you always see the most important details of the transaction, such as:

  • account holder

  • IBAN

  • date

  • amount

  • description or reference

Always check this first to ensure you are linking the correct transaction.


Choose customer

For payments and refunds, first select the customer:

  • you search by name or customer number

  • you select the right customer

Only after a customer has been selected can you link invoices.


Save IBAN

If the IBAN isn't recognized, you'll have the option to save it with the customer. This helps automatically match future transactions faster.

You can:

  • use the IBAN once without saving

  • save the IBAN so that it is automatically recognized later


Linking invoices

For payments, you can usually link in two ways:

  • link to specific invoices
    You choose which invoices are paid.

  • connect to the customer
    You link the payment to the customer and let the system automatically settle invoices later.

The system uses standard logic to process the oldest outstanding amounts first.


Confirm match

When you're ready:

  • check your choices

  • click on link at the bottom

After matching:

  • the transaction is updated

  • the error disappears

  • the transaction is given a status that allows it to be processed further


Process bank statement

When all relevant transactions have the status "ready for processing" or "linked," you can process the entire bank statement. In Zero Friction, you can only process an entire file, not at the transaction level.

When processing:

  • payments are created

  • invoices are settled if possible

  • transactions are marked as processed


Why is a transaction on troubleshoot?
Because the transaction could not be automatically linked, use "Link" to resolve this.

What is the difference between ready to process and linked?
Both statuses can be processed. Linked means there's already a link to a customer or invoice.

Why do I see an IBAN in orange or blue?
This means that the IBAN is not yet known in the system.

What happens after processing?
The transactions are converted into payments and appear in the payments overview.

Why does a payment sometimes not match automatically?

Common reasons:

  • payment reference is missing or unrecognizable

  • IBAN is not yet known to the customer

  • the reference fits multiple customers

  • the invoice has already been paid in full

  • there is not enough data to match safely
