Invoices - details page - Activity log and comments

The Activity Overview shows a chronological overview of all actions and events related to an invoice. You can find this on the invoice detail page, in the Details tab, under the related information section.

This overview will help you quickly understand:

  • what happened to an invoice

  • when an action took place

  • who performed the action or whether it happened automatically

From creating the invoice to payment or crediting, everything is recorded here.


What does this part show?

Each activity in the overview contains:

  • Icon
    Visually indicates what type of event it is, such as invoice actions or payments.

  • Title
    A brief description of the action, for example, that an invoice was created, approved, or sent.

  • Additional information
    Additional context such as statuses, amounts, or related changes.

  • Date and time
    The exact time the activity occurred.

  • User
    If the action was performed manually, you'll see who performed it. Automated system actions don't show a user.


What activities are tracked?

Invoice history

The activity overview records all important steps in the invoice lifecycle, such as:

  • creating the invoice

  • approve

  • creating the document

  • send to the customer

  • crediting the invoice


Payments and follow-up

Payment-related events are also recorded, such as:

  • change of payment status

  • receipt or refusal of a payment

  • change of payment method

  • adjustment of a payment date


Other system events

In addition, automatically generated events may also be visible, for example:

  • status changes by the system

  • updates from linked components such as contracts or customers


How does the activity overview work?

Automatic registration

Activities are automatically added when:

  • a user performs an action on the invoice

  • the system performs a processing, such as payment or document creation

  • a related component has an impact on the invoice

You cannot add or modify activities yourself.


Display

  • Activities are shown from most recent to least recent

  • The overview is read-only and serves as a historical logbook

  • For many activities you can scroll down to view older events

Activities cannot

  • be removed

  • be adjusted

  • be created manually

This ensures a complete and reliable historical overview.


Add comment

The Comments section allows you to add internal comments to an invoice.

Comments allow you to easily share information with colleagues, ask questions, or record agreements that do not belong in the official invoice details.

At the top you will see an input field where you can type a new comment:

  • you type your text in the field

  • Use the send icon to post your comment

  • After sending the field will be automatically cleared

  • Date and time are shown according to your organization's settings

  • Long comments are automatically split across multiple lines

  • Each comment clearly shows who posted it


Overview of comments

Below the input field you will see a list of all comments:

  • the user's name or avatar

  • date and time of posting

  • the content of the comment

The most recent comments are always at the top. You can delete a comment at any time.


When do you use comments?

Can be used for

  • internal comments

  • customer contact follow-up

  • questions or clarifications for colleagues

  • reminders for actions

Do not use for

  • official invoice information

  • sensitive personal data

  • temporary personal notes



Why don't I see any activities?
Because the invoice was recently created and no actions have been performed yet.

Can I delete an activity?
No, activities are permanent and form the historical overview of the invoice.

Why do I see multiple activities for one action?
Some actions impact multiple components, such as invoices and contracts. These are recorded separately.

How far back does the history go?
The overview shows all activities since the invoice was created, without time limit.

Why do I sometimes not see a user in an activity?
Because some activities are performed automatically by the system.

Why don't I see an input field to add a comment?
Then you only have read rights and you cannot post comments yourself.

Can I edit a comment after it's been posted?
No, comments cannot be edited. You can, however, delete and re-add them.

Are comments visible to customers?
No, comments are internal and only visible to users with access to the invoice.

Are comments sent with the invoice or export?
No, comments are internal notes and do not appear on invoices or exports.

How long are comments kept?
Comments will last as long as the invoice exists.
