Navigating the Location Overview

Updated over a week ago

A location is a physical delivery address where services such as heat, electricity, or water are provided.
A location group is a collection of locations that share common settings, such as billing, communication settings, and management information.

These cards are essential for managing contracts, services, products, meters and billing settings.

About navigating the Location Overview

Navigate to Locations in the main menu.

You will find two tabs there:

  • Locations – all individual addresses

  • Location Groups – collections of locations

In summary, this overview is intended to manage locations/location groups, quickly find data, and maintain an overview of location/location group information and status.

In the Location overview and Location group overview you have a search and filter bar.

This contains:

  • A search field to quickly find specific locations or groups of locations.

  • Only for locations: Filters based on status, such as "All", "Supplied", and "Unsupplied".

  • Locations only: Dropdown filters to segment locations based on location groups and customer.

In short, it is a navigation and filter area that allows you to quickly and efficiently refine and manage location lists or location groups.

Locations

The list shows all addresses where services are provided or have been requested.

What can you see here?

  • Location (Address) – Click to open the details page.

  • Customers – Active customers linked through contracts.

  • Location Group – The group the location belongs to (if applicable).

  • External ID – Identification of external systems.

  • Services Provided – Icons for active services such as heat, electricity, water.

The most relevant location appears at the top based on sorting and filters.

Location details page

When you click on a location from the location overview, you'll be taken to the location's details page. This page offers extensive information and options for managing the selected location.

In this view you have the option to manually add meters via the + Install meter button, recalculate Standard annual consumption* via the 'Recalculate EAV button and under the 'More' button, you have a dropdown list with:

  • Change product

  • Exporting locations or consumption

  • Add meter reading

  • To delete

The recalculation may take a while, especially with multiple contracts or locations. You'll receive a notification when the calculation has started and when it's finished.

Example: If a location has 6 months of consumption data, the system uses a load profile to convert this to a full year of consumption.

Under the location name you will find the following tabs:

  • Detail

  • Consume

  • Integration log

Detail

Under details you have different maps that each show you specific information about that location:

  • Details

  • Services

  • Contracts

  • Comments & Activity

  • Meters

  • Custom properties

  • Location

Status badges

Each location has a current service status:

Meaning

Blue – Requested

Service has been requested but not yet active.

Green – Supplied

There is an active, delivered service.

Yellow – Unsupplied

Service was active but is now inactive.

Red – Removed

Location groups

A location group groups multiple locations that share the same configuration, such as:

  • Billing settings

  • Communication data

  • Default management relationships

  • Accounting codes

  • Product configuration

Typical examples are buildings, complexes or projects.

What does the list show?

  • Name of the group (with icon: Building or Project)

  • Number of locations

  • Group address

Link locations to a location group

Add location to a group

You can add locations:

  • When creating a location

  • From the location group via Add Locations

When you move a location from one group to another, the system uses a reference date:

  • Invoices before this date will remain with the old group

  • Invoices from this date will be assigned to the new group

This is important for reporting and contract history.

Example

You are moving a location on January 15, 2024 with a reference date of January 1, 2024:

  • Invoices up to and including December 2023 will remain linked to the old group

  • Invoices from January 2024 will be linked to the new group

Search, Sort and Filter

In Locations

You can search by:

  • Address

  • External ID

  • Service information

Filters:

  • Location group (multiple selectable)

  • Customer

  • Supplied / Unsupplied / Require Attention / All

In Location Groups

You can search by:

  • Name

  • Address

Filters:

  • Require Attention

  • All groups

What changes automatically?

  • Service status changes upon activation or deactivation.

  • Contract links change when contracts start or end.

  • Integration events can automatically update location or group data.

  • Management relationships can be inherited from location groups.

Follow-up actions and restrictions

Some actions are restricted when:

  • A location has active contracts

  • A group is in use for billing

  • An integration process is still in progress

  • You do not have sufficient permissions (MASTERDATA_READ / CREATE / UPDATE / DELETE)

In those cases, buttons appear grayed out or hidden.

Situation

Behavior

Location already in another group

You can move the location; old invoices will remain with the previous group based on the reference date.

Delete location group

All locations will be disconnected, but not deleted.

No locations in group

The list shows “No locations available yet.”

Location not visible

Possibly filtered, no rights or deleted.

Duplicate address or external ID
