Creating outgoing banking transactions
When a user approves invoicing documents paid by direct debit or when he creates refunds for customers, Zero Friction will automatically mark these as Ready for payment collection.
Selecting these invoices and execute the Add all to payment refund transaction action will create an outgoing banking transaction file. This file which will be in PAIN format has to be downloaded and then subsequently be uploaded to the bank.
The outgoing banking transaction file will get the status: To confirm by bank.
Changing collection dates
When the user has created an outgoing banking transaction file, it gets the standard collection date as specified in the general settings of the organisation.
However, the user can still modify this date. This way, the user can speed up or delay the collection time of those transactions.
Overriding bank confirmations manually
It is possible to manually override the To confirm by bank status. When a user decides to do this, the file will be Closed and the transactions inside will be processed as being paid by or refunded to the customer. The related invoices will be marked as paid and the customer's balance will be adjusted accordingly.
Impact on customer balance
When an outgoing payment refund file is confirmed by the bank, the refunds will reduce the customer's open balance. In this case, the balance was negative and now will be adjusted to zero as we have refunded the amount to the customer.
On the customer's detail page it can be seen if a refund has been reversed and the reason for the reversal will also be shown.
Different statuses
An outgoing payment refund file can have different states:
Created: When a payment refund file is created.
Closed: When a payment refund file is confirmed by the bank and processed.
To confirm by bank: When a payment refund file is awaiting confirmation by the bank.
Cancelled: When a user decides to cancel the payment refund file (the user can delete it afterwards).
Ready to send: When a payment refund file is created. This means it can be downloaded and then uploaded to the bank for processing.
Resolve issues: When some information is missing. This may happen when a customer's bank account is missing for the refund.
Date expired: When the collection date has expired on the file. The collection date can still be adjusted manually to a future date. The file will get the state Ready to send again.
Partially closed: When the payment refund is not completely processed yet.
