Automatic invoice settlement

Customer invoices are always settled automatically.

Automatically settled?

If a customer has created an invoice, this invoice will be settled with outstanding credits, invoices or credit notes when the invoice is approved.

The customer does not have to pay the total invoice amount, but only the remaining invoice amount.

In the example below, the customer has a credit balance of €20. This credit balance will be settled with the generated invoice of €100 when it is approved.

You can deviate from this automatic settlement via customer groups by adding the "Automatic settlement" setting to the customer group and turning this setting off. When this setting is off, invoices will no longer be automatically settled with credits, invoices, or credit notes when you approve them.

In the example below, the customer has a credit balance of €20. However, this credit balance is not applied to the generated invoice of €100. The invoice amount remains €100 after the invoice is approved. The €20 credit balance will remain in the customer's account.

If you were happy with how invoices were automatically settled before this release, you don't need to do anything. Everything works as before.

Transaction screen

We gave the transaction screen on the customer details page a makeover.

You can now check very quickly and efficiently:

  • which transactions have been fully settled

  • which transactions have not yet been settled or have only been partially settled

  • which incoming payments were reversed

  • which transactions an invoice has been settled with and for what amount

  • which invoices a payment has been settled with and for what amount

Tasks screen

We removed the expiration date and type column.

We added the following columns to process moves in and out even faster:

  • Location: check at a glance for which location the move is taking place

  • Current contract: check the latest new contract at the location and what the start and end dates of this contract are

  • Owner: If the location or location group has an owner, you can find it here.

The filters in the task screen also got a makeover

  • To be processed: All tasks with the status 'new', 'waiting for customer' or 'waiting for supplier' are shown here

  • Processed: All tasks with the status 'processed' are listed here

  • Rejected: All tasks with the status 'rejected' are listed here

  • All: all tasks

The details screen of a task now also includes the current contract and the owner.

Link new bank account to customer

If a customer previously paid with an unknown account number, you could confirm or reject the new account number on the customer details page.

Because confirming/rejecting a new account number was easily overlooked, we moved this action to the incoming transaction screen.

When an incoming transaction is matched automatically or manually and this transaction contains an initial or new bank account number, this account number will be highlighted.
