Different types of communication methods
In Zero Friction, for each type of invoicing document (e.g. advance, invoice, end note, credit note, incidental note), general communication methods can be configured.
The communication method can be set up per type in the configuration menu. Possible methods that are available are: by e-mail, manual and skip if SDD.
These are the default communication methods, but it is still possible to deviate from these settings per customer. More information on this below.
If this communication method is selected, the invoicing document will be send by e-mail. A necessary prerequisite is that an e-mail adress is filled in on the customer's detail page. If no e-mail address is available, the documents cannot be sent and will appear in the To send tab on the list page.
Manual
This communication method means the invoicing document won't be sent.
The document will be visible on the To send tab on the list page.
The user can decide to send the invoice via e-mail or to send it by post. This postal option can be activated on request by the organisation. ZF cooperates with a printing company that handles the printing and delivery.
If the user decides that the invoice isn't to be sent out at all, he can mark the invoice as sent (without actually sending out anything). This will clear the invoice from the To send tab.
Skip if Direct Debit
This communication method means that the invoicing document will not be sent to the customer if SDD is activated on the detail page. The customer is paying his bills by direct debet. This can be handy if we don't want to send out advances by e-mail but only the annual invoices and end notes.
Postal preview
Documents can be sent by post using our software. In order to do so, the user has to manually select this action for each invoice that is listed in the To send tab on the list page.
A loading icon will appear before invoices sent by post. It is a running circle icon that will disappear when the document is actually posted.
Specifying default communication methods and settings for a customer
On the customer detail page, the way a customer wants to receive the invoicing documents can be specified.
The same options previously discussed are available (by e-mail, manually, skip if SDD) and a fourth option is also available, namely custom. This option lets us specify a different communicaton type for each type of invoice. For example a customer wants to receive all advances per e-mail but he wants to receive the annual invoice and endnote by post (manually).
Adjusting the communication preferences on the customer's detail page will always override the default communication methods of the organisation as set up in the configuration menu.
