Configuration - Customer Portal - Preferences

On the Customer Portal Preferences page, you can determine how the customer portal looks and functions for your customers. Here you can set the branding, determine whether customers can adjust their advance payment amounts, and choose which information is visible in the portal.

At the top of the page you will see a status indicator that shows whether the customer portal is active or inactive.

Logo and colors

In this section you set the corporate identity of the customer portal.

You can choose to use the organization logo. If this option is enabled, your organization's logo will automatically be used.
If you disable this option, you can upload your own logo.

The logo:

  • file formats: png, jpg or svg

  • maximum size: 500 KB

  • is displayed horizontally, typically about 60px high

You can also upload a favicon. This is the small icon visible in the browser tab.

  • file format: ico

  • maximum size: 100 KB

You can also choose to use the organization colors.
If this option is active, the primary and secondary colors will be automatically adopted.

When you disable organization colors, you can set your own colors:

  • primary color for buttons and navigation

  • secondary color for accents, icons, and illustrations


Advance amounts

Here you determine whether customers can adjust their advance payment amount themselves in the customer portal. You can allow or block changes to the advance payment amount entirely.


If customization is allowed, also set the allowed range.

The range can be determined in two ways:

  • a fixed amount

  • a percentage of the original advance payment

With a fixed amount, a customer can increase or decrease the deposit within a fixed amount around the original deposit.
With a percentage, the reach is calculated based on a minimum and maximum percentage. The final reach also takes into account the minimum thresholds set in your billing settings.

The margin you set is always applied to the original advance payment amount or the amount after a recalculation via a settlement. Customers can freely navigate the portal within this set margin.

When the customer makes a change, the amount will be adjusted on the contract and also on any advance invoices already created (pro forma).


Email communication

In this section you will find a reference to the email template settings.
This determines which emails are sent from the customer portal and what they look like.


Invoices

In this section you determine which invoice information is visible to customers.

You can make invoices visible in the customer portal.
When this option is active, customers will get a separate invoice page with an overview on the homepage.

You can also set whether the payment status of invoices is visible.
If this option is disabled, due dates and outstanding amounts will not be shown.

Additionally, if available, you can enable visualization of consumption costs and estimates.
This allows customers to view their consumption, estimate costs and compare with similar groups.


How does it work

Changes will be saved once you click Save.
The changes are immediately visible in the customer portal.

When you choose to use organization logos or colors, changes to the organization settings will automatically be reflected in the customer portal.


Validation and error messages

When saving, the system automatically checks the entered data.

Possible error messages:

  • the logo or favicon is too large

  • mandatory colors are missing when organization colors are disabled

  • the advance payment amount range is invalid

  • the minimum of the range is greater than the maximum

Error messages are displayed immediately next to the affected field.



Why don't I see an option to visualize consumption costs?

This option is only visible when the functionality is activated for your organization.

Can I combine my own logo with organizational colors?

Yes. Logo and colors are separate settings and can be freely combined.

What is the difference between a fixed amount and a percentage for advances?

A fixed amount uses an absolute difference in euros.
A percentage calculates the reach based on the original advance payment amount.

Where do I set up email templates?

Via the link in the email communication section or via Configuration → Communication → Templates.



Advance payment amount
An advance payment that customers make for future invoices.

Favicon
The small icon that is visible in the browser tab.

Primary color
The main color for buttons and navigation.

Secondary color
Accent color for icons and supporting elements.

Customer portal
The web environment where customers can consult their invoices, payments and data.
