Invoices - details page

The Invoice Details section shows all the key information about an invoice. You can find this on the invoice details page, in the Details tab on the right side of the screen.

This section will help you quickly understand:

  • what the invoice is about

  • what amount is owed

  • whether the invoice has already been (partially) paid

  • whether there are any points of attention such as backlogs or errors


Basic data

In this block you will see the general information of the invoice:

  • Invoice type
    Indicates which document it concerns, such as a (final) settlement, advance payment, credit note, correction note or incidental note.

  • Invoice date
    The date the invoice was created.

  • Expiration date
    The date on which payment is expected.
    Once this date has passed, it will be visually indicated as overdue.

  • Period
    The period for which the invoice was issued, with a start and end date.

  • External reference
    Any reference from an external system.


Financial data

This block provides insight into the invoice amounts:

  • Amount
    The total invoice amount including VAT.

  • Outstanding amount
    The amount still to be paid.
    This amount starts at the total amount and decreases as payments are processed.

When the outstanding amount is zero, the invoice is considered fully paid.


Related information

Depending on the situation, additional fields may be visible:

  • Product
    The product or service to which the invoice relates.
    This is a clickable link to the product details.

  • Credited / Credited by
    If the invoice is linked to a credit note, you will see the relationship here.

  • Export status
    Indicates whether the invoice has already been exported to an external system.

  • Shipping status
    Shows whether the invoice has already been sent to the customer.

  • Error message
    Displayed when the invoice creation or approval failed.

  • UBL errors
    With electronic invoicing, validation errors may be visible that require attention.


Note to the customer

  • Note to the customer
    A text that is visible to the customer on the invoice.
    This can be adjusted as long as the invoice is in an editable stage.

Once the invoice is finally created, this note will become read-only.

Why is the outstanding amount different from the total amount?
Because (partial) payments have already been processed.

Why is the due date marked as past due?
Because the due date has passed and the outstanding amount is still greater than zero.

What does a negative outstanding amount mean?
This usually indicates a surplus, for example due to a credit note or overpayments.

Why can't I edit the customer note?
Because the invoice has already been definitively created and can no longer be changed.


  • Invoice date
    Date the invoice was created

  • Expiration date
    Date on which payment is expected

  • Period
    Time period covered by the invoice

  • Outstanding amount
    Amount still to be paid

  • Credit note
    Document that reverses an invoice in whole or in part

  • Export status
    Indicates whether the invoice was forwarded to an external system
